Manage teacher access and training

Invite teachers, review training, approve classroom access, and record changes.

For institution administrators who manage production classroom teacher accounts. Your organization issues this account. Workshop institution tools use a separate approved account and have their own guide.

Sign in and choose your institution

  1. Open institution administrator sign-in

    Enter your Institution administrator email and Password, then choose Sign in as institution administrator. Use the account issued for this responsibility.

  2. Check Institution scope

    On Teacher access and training, choose your Institution. The candidate list and every action on this page apply to that institution.

    Use Choose institution, Invite a teacher, and Review teachers at the top to move between tasks. Open a candidate by selecting their name and current state.

If you get stuck

My account is denied or no institution is available.

Check that you used institution administrator sign-in. Ask the person who administers your account to confirm your current institution authority. A teacher account does not include this permission.

Invite a teacher

An invitation connects the teacher to the institution. Training and approval still follow.

  1. Create and retain the invitation

    Under Invite a teacher, enter the Teacher work email and choose Create invitation.

    Check the masked email and expiry in the receipt. Copy the one-time token immediately and give it to the intended teacher through your approved communication channel. The token is not available again after this response.

  2. Have the teacher accept it

    The teacher signs in through Teacher sign in, opens their activation page, enters the Institution invitation token, and chooses Accept invitation.

    Return to Teacher access and training and reload the page. The accepted teacher appears under Teacher candidates. Acceptance does not complete training or grant teaching authority.

If you get stuck

The receipt says the token is no longer available.

Use the invitation revocation controls while the receipt is available, then create a replacement. Repeating an already completed request does not reveal the old token.

Confirm that the teacher accepted the invitation for this institution, then reload. The current page shows at most 100 candidates; it has no candidate search or next-page control. Follow the displayed operations handoff if the list is truncated.

Review and record required training

  1. Read the candidate’s current state

    Select the teacher under Teacher candidates. Check their name, State, membership revision, and every Training requirements item.

    A teacher awaiting training cannot be approved. Confirm actual completion evidence before changing a record.

  2. Record each completed requirement

    Enter the Completion evidence reference for the requirement and choose Record completion.

    Wait for Training record updated. Check that the requirement is current. Repeat for each requirement. When all requirements are current and the candidate is awaiting approval, the page says Approval is available.

If you get stuck

Approve teacher authority is disabled.

Read the readiness message. Every required training record must be current, the candidate must be awaiting approval, and there must be at least one requirement. An active or revoked candidate is not awaiting approval.

Approve classroom authority

  1. Record the approval decision

    In Authority decision, enter an Approval reason explaining the decision. Check the candidate and institution once more, then choose Approve teacher authority.

    Wait for Teacher authority approved. The candidate State becomes active and Append-only history gains the decision. The teacher can refresh their activation page and open their dashboard.

Correct a training record

  1. Revoke only the affected current requirement

    In that requirement’s form, enter its Revocation reason and choose Revoke training. Only a current training record can be revoked.

    This action submits immediately: there is no extra confirmation dialog. Check the updated requirement, candidate state, and history. A revoked training record can stop the teacher from satisfying access requirements.

    If valid completion evidence later becomes available, record a new completion. The earlier event remains in history.

Remove a teacher’s authority

  1. Read and confirm the consequence

    Under Revoke authority, enter the Revocation reason. Read the confirmation: this immediately removes the teacher’s production authority.

    Check the confirmation box only when that is the intended action, then choose Revoke teacher authority.

  2. Verify the revoked state

    Wait for Teacher authority revoked. The candidate State is revoked; the repeat action is disabled, and history records the decision.

Revoke an unused invitation

  1. Revoke from the invitation receipt

    While the invitation receipt is displayed, enter an Invitation revocation reason. Check the confirmation that the invitation must be revoked before a fresh token is issued.

    Choose Revoke invitation. This prevents that invitation from being used; the old token is not restored by issuing a new one.

  2. Check the receipt before replacing it

    Wait for Invitation revoked. Create a new invitation to receive a fresh one-time token. The old receipt is removed.

Review history and recover

  1. Use the recorded outcome

    Open the teacher and read Append-only history. It lists training and authority events, times, revisions, and supplied reasons or evidence references.

    After an error, read the alert and recheck the current candidate before retrying. A conflicting revision reloads the candidate so you can review the newer state. A success notice and changed state are stronger evidence than a button click alone.

Wait for loading to finish and read the alert. Reopen the candidate, confirm current training and authority, and retry only if the intended change is still needed.
